Introduction

This document describes the import/export file structures used by the OECN state supported Equipment Inventory System (EIS) Version 2.0. This specification may be used by appraisal/inventory firms to transmit or receive data from Ohio school districts that are using the EIS system. It may also be used to receive data from other sources such as optical scanning devices or personal computers.

CSV or tab-delimited files may be imported but are not available as an export format. CSV formats referred to in this document apply to either CSV or tab-delimited files.

Media

All magnetic tapes transmitted to or from must meet the following specifications:

  • EBCDIC or ASCII, 9 track
  • Unlabeled
  • 1600 BPI
  • Blocking factor 10 records per block
  • 512 characters per block

All diskettes transmitted must meet the following specifications:

  • ASCII format
  • Non-packed sequential file structure with no embedded commas or tabs. Each record must contain a carriage return/line feed in the last two positions of each record as a record delimiter.
  • Only 3 1/2" diskettes are permitted. The diskette must be of a 1.2mb 96 track format.
  • Must be created using a Windows-compatible operating system.

The above specifications are common formats that most ITC's can accept. It is recommended that the specific ITC be contacted to confirm what format(s) they are able to accept.

General

Fixed Format

Alpha-numeric fields may be provided in upper or lower case letters and must be left justified. If Alpha-numeric fields are not applicable or if the value cannot be determined, fill the field with spaces. Numeric fields must be right justified and zero filled. If the value of a numeric field cannot be determined or is not applicable, fill with zeros.

CSV Format

The CSV file must be named with a .CSV extension. The first line in the file must contain the appropriate "column name" to identify it to EISIX/EISIMP. These columns can be in any order, and many of the columns are optional. Only one record type should be included in each CSV file. The CSV file is entered in the EISIX/EISIMP sequential disk filename.

Record Formats

Data files containing asset data may contain several record types. The supported record types are:

  1. Entity Header Record (Code E)
  2. Location Code Definition Record (Code L)
  3. Item Category Definition Record (Code C)
  4. Asset Classification Definition Record (Code A)
  5. Asset Condition Code Definition Record (Code D)
  6. Item Disposition Code Definition Record (Code B)
  7. Organizational/Departmental Unit Code Definition Record (Code O)
  8. Item Function Code Definition Record (Code F)
  9. Item Fund Code Definition Record (Code N)
  10. Miscellaneous Record (Code M)
  11. Asset Item Detail Record (Code I)
  12. Asset Item Disposition Record (Code K)
  13. Total Record (Code T)

All record types except for the "Entity Header Record", the "Asset Item Detail" and the "Total Record" are optional. An Entity Header Record and a Total Record mark the physical beginning and end of data to be included as a district's appraisal information.

Inventory data for multiple districts may be transmitted in a single file. Each district's data must be preceded by a Code E record and followed by a Code T record.

The following sections describe these record types in detail.

Entity Header Record - Code E

Contains information about the school district that is transmitting or receiving the asset data. This record is required. If multiple schools are transmitted on a single tape or diskette a Code E record must be the first record for each school district.

Asset Item Detail Record - Code I

The Asset Item Detail record (Code I) is used to transmit data concerning each individual asset to or from the appraisal firm. This record contains most information tracked by the EIS system. Certain fields may or may not apply depending on the user/supplier of the information.
