ODDEX Release v3.11.0

This outlines updates to the ODDEX application included with release v3.11.0, 14-Sept-2017.

Enhancements

  • History - The ability to view student assessments through the History module has been added.  For those users with the appropriate SAFE role(s), for any student which has assessments, an Assessments tab will be available that will list all of the applicable tests for the student.  Further details on the assessment data may be found in the documentation.
  • Tuition - Added a data selection by reporting window.

ODDEX Release v3.10.0

This outlines updates to the ODDEX application included with release v3.10.0, 7-Sept-2017.

Enhancements

  • Calendar - New module from navigation bar is enabled.   Using this module, districts will be able to view calendars for districts they have roles assigned.
  • Calendar - Community School sponsors will have the ability to approve the calendars for their community schools.  ODE will provide the sponsors with more info on this option.
  • ODDEX - Landing page has been updated for those with community school roles.   The grid displayed will include a calendar section.  
  • ODDEX - SCR, Tuition, SOES have all been modified to include the ability to display a district calendar for an entity associated with one of their students. Users will see calendar icons displayed next to the IRNs.  Clicking on the icon will pop-up a calendar for that IRN.

  • Tuition - Added the audit detail from record changes to the information available. Users would click on the blue icon  to have the audit details displayed in a pop-up.  The details will include old and new values and the date and time the change occurred.

  • SCR - Modified STIC conflict rules to eliminate generating conflicts for students in a three way reporting situation. As an example, a student open enrolled to a district and then sent to another entity, such as a JVS.  This rule change will execute against 2017 data and will close a number of conflicts.
  • SCR - Begin running conflict rules against 2018 data submissions.

  • Tuition - Change completed to flag and transfer Aged Out record data to ODE for inclusion in the funding processes.  These would be records past the defined rules for the 30 day timer.  In the Review Flags area, districts will note this entry and will have the ability to comment. 


    The review status query in the tuition summary screen now includes an 'ODE Aged Out' option for finding all records which have been approved due to age with no activity.

  • Tuition - Tuition data will be locked out from any updates to the contact data (parent and address) and placement data beginning on specified dates for the two reporting windows.  For 2017, the first window of tuition data will be locked out at midnight on May 15, 2017.  The second window of data will be locked out at midnight on August 5, 2017.  LEA's may continue to review the data, the lockout affects the updating of the contact and placement data by the Educating LEA only.
  • History - The history detail will no longer be displayed using a popup window.  History detail will now be displayed through a tabbed page.
  • History - The ability to view special education events through the History module has been added.  For those users with the appropriate SAFE role(s), within the History module, for any student which has special education events, a Special Education tab will be available that will list all of the applicable events for the student.  Further details on the special education data may be found in the documentation.

  • ODDEX - Added a global find by SSID.  This option is located within the Navigation bar and is an SSID query across all student based modules, for all years of data.  When entering an SSID, the selection of records returned by the global find is determined by the reporting link a district has to that SSID.   A user only has access to an SSID they have a reporting link to.   If a user has access to multiple reporting districts, data related to all these reporting districts will be included in the results.  Once a grid listing the records is returned, the appropriate links can be selected and the records are viewable within that application of ODDEX.

  • SOES - Added the functionality where residency records are set to auto-reviewed status during the import process.  This will occur when the data submitted by a community school did not change from the prior school year with the exception of the grade level and dates.  Once set to auto-reviewed the resident district can not review these records to set flags.  The auto-reviewed status will be removed if a community school later submits other data changes for the student, thus opening the 75 day flagging window. 
  • SOES - Added auto-reviewed status to the selection options.
  • ODDEX - Added a new column to SOES section of landing page to list the auto-reviewed records.
  • ODDEX - Modified selections in the find to keep the options entered when changing between various screens.
  • SOES - Added a selection option for students with a blank address.
  • SOES - Added a selection option for student whose address is complete or not blank.
  • SOES - Modified the flagging abilities of resident districts to prevent any flagging on students whose address has not yet been reported by the educating community school.

  • SCR - Updated rule processing for WTIC conflicts.  The WTIC conflict will no longer get flagged on a number of situations were there are 3 districts involved.  If the district relationship = 3 and the sent to reasons are TS, PS, SE, FC, OE, CI, 64, NI or TI the records are not included in the WTIC check any longer.  Any prior WTIC conflict that was flagged before this update and meets the new criteria will be resolved and the user will see it with a strike-though.

Enhancements

  • SCR - Adding sorting of records to pop-up screens.  Records will sort by active/inactive status and then start date within the status sort.  Inactive records will display at the bottom.
  • ODDEX - Using the 'Agencies' selection from the navigation bar, district can now find and select any agency within the state that has submitted data.  Once the agency (district) is selected, contact information will be displayed.  This feature will be useful when needing to obtain contact data to assist in resolving conflicts.  Note that any data entered for an agency will be visible to all ODDEX users.
  • SCR - Changed default when selecting SCR for the first time from the navigation bar, 'conflicts' is the default rather than 'students'.  After the initial selection, the default will also be the prior used option on this screen.
  • ODDEX - Removed the 'County' column from the Agencies grid listings.
  • ODDEX - Landing page - Updates were made to increase performance for those with access to more than one district.  Users will now see the grid populate per entity instead of all at once.

  • ODDEX - Added additional cross checking to SCR for withdrawn to IRNs.  Districts will now see an additional column on the landing page that represents the count of any records reported having a withdrawn to IRN and the entity involved is not reporting the admitted from IRN as matching.  This will show under the 'Not Reported/Mismatch column and will have the conflict code of "WTIC" (Withdrawn To IRN Conflict) on the conflict detail pop-up screens and in the export. The ability to select by just these records will also exist in the 'Find' box.

Enhancements

  • SOES - If a record gets set to inactive and that record had a resident district review flag set on it, the flag will now be eliminated.  The red flag indicating a resident district challenge is no longer effective with the inactive status on the overall record..
  • SOES - Added additional strike through to the displays so all detail related to an inactive record shows as such.  This change will make it visually more clear which are the current or active records and which are not.
  • SOES - Updated the sort of the records displayed in the student detals pop-up and the student summary listing.  The records will now sort by active status, then inactive status, then by date within the status category.  The most recent records will sort to the top of each category.
  • ODDEX - By default comments entered are shared with all other ODDEX users that have access to the SSID.  A change was made so when entering comments within the application, the user will have the option of making a comment unshared.  To mark a comment unshared, the user should uncheck the "Shared" box.   When marking a comment as unshared, only those within the writers entity will see the comment.  No others users will see the entered comment. 
  • Calendar - Temporarily inactivated the calendar features.

  • SOES - Modified export of data for Resident Districts to include all data, not just the data elements being viewed on the screen.  Districts can access this using the 'Export' button.  This full data export is a replacement for the partial data export that existed in prior versions of the application.  The data is exported to a file named SOES_RES_EXPORT.TXT and is still in a tab delimited format for use with spreadsheet software. 
  • SOES - Modified Community School views to now include a link to list the Audit records for a student's Educating records.  The audit icon appears on the detail pop-up and when selecting this icon, a new pop-up occurs that lists the audit records available.
