Querying Jobs

The job query allows searching by job status. If no job status is selected for the query, all jobs for the employee will be displayed. The example below shows the results of a query for 'Active' jobs.

Modifying A Job Record

To modify a job from the job detail screen, click on the "Modify" button located in the box labeled "Job Details" which is displayed at the top and the bottom of the job information. Both buttons perform the same function so it is only necessary to click one button. Upon clicking the button, the job screen will appear with fields that are now modifiable (See sample below). Once the desired changes have been made, click the "Accept" button to save the changes. To exit the job modify mode without saving any changes, click the "Cancel" button. When the "Cancel" button is clicked, all changes made during the modification are ignored and the record is returned to its previous state.

  • Tip
  • If you type one or more characters of the supervisors last name in the Supervisor Id field and wait for just a moment the web application will return a list of employees whose names match the values you have typed. You can then select an employee by either arrowing down until the employee you want is highlighted and pressing enter, or clicking the employee you want to select using the mouse.

Adding A Job

To add a job from the job detail screen, click on the "Add" button located in the box labeled "Job Details" which is displayed at the top and the bottom of the job information. Both buttons perform the same function so it is only necessary to click one button. Upon clicking the button, a blank job screen will appear for the new job data to be entered (see sample below). Fields marked with a red dot are required fields. Once the data for the new job has been entered, click the "Accept" button to create the new job. To exit the job add mode without creating the new job, click the "Cancel" button.

Deleting A Job

To delete a job from the job detail screen, click on the "Delete" button located in the box labeled "Job Details" which is displayed at the top and the bottom of the job information. Both buttons perform the same function so it is only necessary to click one button. Upon clicking the button, a pop-up box will ap-pear asking to verify that the record should be deleted. Click "Ok" within the pop-up box to complete the deletion of the record.

Expanding/Collapsing Job Fields

The job detail, modify, and add screens have the ability to limit the amount of fields displayed on the screen. Within these screens, there are  and  icons which give the ability to display or hide sections of fields. Clicking a  icon will display additional fields while clicking a  icon will hide fields. There are also "Expand All" and "Collapse All" buttons within the box labeled "Job Details" that will display or hide all expandable/collapsable sections at once with one click. Below is a sample of the job edit screen with some sections displayed and others hidden.

Modifying A Pay Account

To modify a pay account, click the  icon next to the pay account needing modification. The pay account will then be displayed with fields that are modifiable. To use the XREF feature, type in the XREF code to search for and click the  icon. If a valid XREF code was entered, the account and account description will be filled in with values stored with the XREF code. If the XREF code entered is invalid, an error will be issued. Once the desired changes have been made, click the "Accept" button to save the changes. To exit the pay account modify mode without saving any changes, click the "Cancel" button. When the "Cancel" button is clicked, all changes made during the modification are ignored and the record is returned to its previous state.

To add a pay account, click the  icon. If a default record exists on the pay account file, the new pay account will display the default values from the default record. If no default record exists, a blank pay account screen will appear for the new pay account data to be entered. To use the XREF feature, type in the XREF code to search for and click the  icon. If a valid XREF code was entered, the account and   account description will be filled in with values stored with the XREF code. If the XREF code entered is invalid, an error will be issued. To exit the pay account add mode without creating the new pay account, click the "Cancel" button.

If no pay accounts exist for a job, a button will be displayed at the bottom of the screen, after the job data, which will allow a pay account to be created for the job.

Example 5.7. Pay Account Create Button

When attempting to add a valid budget account that does not already exist in USAS, but for which a valid appropriation account does exist in USAS, a screen will be displayed giving the option to create the budget account in USAS (see sample below). A description for the account can be entered. To create the account, click the 'Create' button. Clicking the 'Create' button will create the account in both USAS and USPS. To exit the screen without creating the account in USAS click the 'Cancel' button.

Deleting A Pay Account

To delete a pay account, click the  icon next to the pay account to be deleted. A pop-up box will appear asking to verify that the record should be deleted. Click "Ok" within the pop-up box to complete the deletion of the record.
