The UMP system makes use of standardized User Mail Profiles in order to send Email more efficiently to a variety of users across the State. It will also allow for the creation of an electronic "white pages phone directory" to permit an easy way to lookup an Email address for any user on the OECN network.

You will have the ability to add or change data on your own profile record, but not to see or modify data on other profiles unless granted this access.

You will also be able to see a table of OECN and other mailing lists, which lists your are subscribed to, and will have the ability to subscribe or unsubscribe to other nonrestricted lists.

The purpose behind the use of User Mail Profiles is to permit a much faster way of delivering Email to groups of users across the state and for ease of address look-up. No longer will your terminal be tied up if, for example, you try to send mail to all principals in the state. You will also be provided with a much larger selection of groups to send to or receive state-wide mail from.

Your profile will be available for anyone to see across the state. Thus, you should be discreet in what you enter in the comment field, and any phone numbers and addresses should be just for your place of employment.

Using the Program

The program may be executed by typing:

$RUN OECN$:UMP

at the $ prompt or from the menu system, type:

When you first access your own profile, some of the fields will already contain data that was extracted from old distribution lists. You should use the modify option to add additional information.

Field Definitions

You will have the ability to add or change data in some of the above fields as explained next:

Field Name Explanation

Username

Your account name which is assigned by your Data Acquisition Site (DAS). This field is not user modifiable.

DECnet Node

DECnet node name assigned by your DAS. This field is not user modifiable.

User Type

Defined by your DAS. Used to classify users into broad categories such as: STAFF, STUDENT, etc. This field is not user modifiable.

Internet Host/Mailbox

The Internet host site or your complete internet address (user@host). Used by your DAS. This field is not user modifiable.

Name

Your full name in Last,First format. Example: Doe, John

Title

Your job title.

Position Code

Your EMIS position code (if applicable).

Phone

Your work telephone number.

FAX

Your work FAX number.

Cell/Pager

Your cellular phone or pager number (if applicable).

Alternate

Any alternate phone number.

District IRN

The IRN number for the district (if applicable).

Building IRN

The IRN number for your building (if applicable).

County

The name of the county.

District/Organization

Name of the school district or name of the organization.

Street Address

Street address of the organization.

City,State,ZIP

The city, state, and ZIP code of the organization.

Comment

Any other information you would like people to know about when accessing the profile.

URL

If you have a personal or organizational Web Home Page which you would like to advertise, enter the complete Universal Record Locator (URL) here. Otherwise, leave the field blank.

Site Information

Information specific to your DAS.

Note that your profile will show the date of the latest revision.

Help Windows and Searching

For the Position Code, District IRN, and Building IRN fields, there are pop-up windows available. Simply move the cursor to the field and press the [Help] key. In the case of position codes, a window will appear and will allow you to page through a list of all possible codes with a description. The IRN fields permit searching by either Name and/or County to bring up a list of possible IRN's from around the state.

EMAIL Lists

In order to view the Email lists you currently subscribe to, press the [Email Lists] key. A screen similar to the following will appear giving both OECN statewide and local distribution lists.

You may subscribe or unsubscribe to any unrestricted list by entering the name of the list in the indicated field at the top of the screen and pressing the [Accept] key.

The "Receive OECN attachments as web links?" field allows you to determine how you will receive files (attachments) that are sent to the state-wide OECN lists. When someone sends an attachment (for example a Microsoft Word or Excel document) to the OECN lists you have the option of receiving the original attachment directly in your mailbox, or you can receive a "web link" (URL) instead.

Receiving a web link is preferable for most users. Receiving the link saves disk space, download time and reduces the risk of receiving a virus from the attachment. However, you may prefer to receive the attachment directly if you frequently download your mail for disconnected (off-line) reading and it is important for you to have all attachments available.

To subscribe or unsubscribe to any unrestricted list, enter the name of the list in the indicated field at the top of the screen and press the [Accept] key.

There is help available when you press the [Help] key with the cursor on one of the distrbution lists. A popup menu attempts to explain the user relationships between the lists, the meaning of "restricted", etc. For example, the help menu for the MAIL_SUPT_PUB list gives the following information:

Using the OECN White Pages

The User Mail Profiles supply the information for the Ohio Educational Computer Network (OECN) white pages. This is a method for finding the Email address and other information for all Email users on the OECN.

You have several methods of accessing the OECN white pages. One is to use the FIND_MAIL selection in the OECN package contained in the Menu. Others involve the use of the Internet and offer more fields to search on.
